What is AulTekVentory?
AulTekVentory is a digital system that replaces paper logs and spreadsheets for tracking warehouse inventory. You use it on a phone, tablet, or computer. It keeps a record of everything that comes in, gets counted, or gets moved — and it never loses anything. Think of it as a shared logbook that the whole team can see at the same time, from anywhere in the building.
Step 1 — Logging In

Open Chrome on your phone or computer and go to the app link your manager gave you.✓ Tip: Add it to your home screen so you don't have to type the link every time.

Type your email and password. These were set up by your administrator. If you don't have them, ask your manager.

You'll see your dashboard. The sidebar on the left shows what you have access to based on your role. Not everyone sees everything — that's normal.

Your location is set automatically. If you're at Crystal Lake, you'll see Crystal Lake records. If you're at McHenry, you'll see McHenry records. You cannot see the other warehouse's records.⚠ Never share your login. Every action is logged under your name.
Step 2 — Logging a Delivery (Receiving)
When to use this: Every time a shipment arrives at your dock. Do this before anything is put on the shelf.

Tap "Receiving" in the left sidebar.

Tap "+ New Entry" at the top right.

Fill in the form: Today's date, your name, the carrier (UPS, FedEx, etc.), PO number from the packing slip, product model, product name, serial number, and quantity received.

Check the boxes for label verified and nameplate verified if you physically confirmed them on the box.

Upload photos or documents. Tap the upload button, pick your file, then choose a category from the list (Packing Slip, Photo — Exterior, etc.). You must pick a category or it won't save.✓ Tip: Always photograph the packing slip and at least one side of the box before opening.

If something looks wrong — damaged box, wrong quantity, missing items — check "Discrepancy Found" and describe it in the notes. This automatically creates a discrepancy alert for your manager.

Tap Save. You're done. The record is now in the system with your name and a timestamp.
Using Your Voice to Log a Delivery (Hands-Free)
When to use this: When your hands are full — carrying boxes, using a forklift, or just moving fast. You call a number, speak the details, and the system writes it down for you.

Call (815) 572-6031 from any phone connected to WiFi (using Zoiper) or any regular cell phone.

Wait for the beep, then say something like:
"Product model AB-100, product name Flow Control Valve, serial number 2024-XR-9921, quantity 4, carrier FedEx, PO number 88321, condition Good."

Press # on your keypad when you're finished speaking.

Open AulTekVentory on your phone, go to Receiving, find the new entry, review it, fill in anything that was missed, and tap Save.✓ Tip: Always review the transcription before saving — voice systems occasionally mishear numbers.
Step 3 — Counting Inventory
When to use this: During scheduled physical counts or whenever your manager asks you to verify what's on a shelf.

Go to "Inventory Count" in the sidebar.

Tap "+ New Count." Enter today's date, your name, location, bay, and shelf number.

Walk to the item physically. Count what you see with your own eyes. Enter the product model, description, serial number, and the quantity you counted.⚠ Do not estimate. Only enter what you physically see in front of you.

The system compares your count to what it expects. If the numbers don't match, a discrepancy alert is created automatically. You'll see a red warning on screen.

Tap Save. Your count is recorded with your name, timestamp, and location.
Step 4 — Moving Items Between Warehouses
When to use this: When an item needs to move from Crystal Lake to McHenry or vice versa. Both warehouses must confirm the transfer.

Go to "Location Transfers" in the sidebar.

Tap "+ New Transfer." Fill in the product details, quantity, where it's coming from, and where it's going.

The receiving warehouse will see a pending transfer in their system. They must confirm receipt before the transfer is marked complete.

Both locations must have a person confirm. The person sending and the person receiving both sign off in the system.⚠ Do not mark a transfer complete until the item has physically arrived at the other warehouse.
Attaching Photos and Documents

On any record (Receiving, Count, Transfer, etc.), scroll down to the Attachments section.

Tap "Upload File." Choose a photo from your camera or a document from your files.

A box will pop up asking "What is this file?" Pick the right category from the list — Packing Slip, Photo — Exterior, Label/Nameplate, etc. You must pick one.

The file saves with your name, timestamp, and category label. Anyone who opens that record can see it.
Who Can Do What — Quick Reference

Common Mistakes to Avoid
❌ Don't enter a count without physically counting
The system tracks who entered what and when. If your count doesn't match what's on the shelf, it creates a discrepancy that has to be investigated. Always count in person.
❌ Don't skip the file category
If you upload a file without choosing a category, it won't be organized properly and others won't know what it is. Always pick the right category from the list.
❌ Don't share your login
Every action is saved under your name. If someone else uses your account and makes a mistake, it shows up as you. Keep your login private.
❌ Don't ignore the red discrepancy warning
If a red alert appears after a count, report it to your manager right away. Don't close it or ignore it. Discrepancies must be investigated and resolved.
